Initial Set Up

How to initially set up your Report it Quick app

The following Videos describe how to fully operate the Report it Quick App.
Please Note: Report it Quick is built to be used on iOS versions 9-10 and 11

Video 1: Key Pad & Pin Number

We have enabled this security feature in the event that you lose or damage your iPad. You will not want your confidential information to be accessed by others.

So! You will need to enter a 4 digit pin number each time you log in to Report It Quick. This is a very simple process, and please note: you can change your pin number at any time if required.

When you first download Report It Quick onto your iPad the first thing you will see when you open it is a pin pad.

Type in a 4 digit pin number

It will ask you to enter it again a second time.

Once you have done this you will see an email option pop up on the screen. You can if you wish send this email to us and we will keep your pin number on our server in the event that you forget your number. If you do happen to forget it, then just contact us and we will retrieve it for you and then email it back to you. Please note that filling in this email is optional, if you do not want to have your pin number stored on our server then simply delete the email.

Once you have completed this task then you will be able to access all other areas of the ‘Report It Quick’ program.

Video 2: Apple Pages

Report It Quick has incorporated ‘Apple’ ‘Pages’ as our word processor.

‘Pages’ is the equivalent of Microsoft Word.

‘Pages’ produces your reports in a very neat and clear style, and, further, it also allows you to edit your reports if you need to, even after you have finalized them.

The ability to edit after completion can be very useful if you have employee inspectors where you require them to submit reports to head office for assessment, prior to being emailed to the client.

So! – It is very important that you have ‘Apple’ ‘Pages’ downloaded onto your iPad, because if you don’t, you will not be able to produce a report.

We believe that the ‘Pages’ app is a free download, but if it is not, it is still a very inexpensive purchase.

Video 8: Backup and Recovery of Your Templates

In this video we will show you how to enable backup and recovery of your templates.

There are two ways to do this

One: You can backup and restore templates to our server, or two, you can backup and restore templates to iCloud

We would recommend that you use both methods as an extra safe guard measure.

First we will show you how to backup and restore you’re ‘Template Data’ to our secure server.

Please Note: The first option of backing up to our server will only backup your ‘Template Data’ it will not! Backup your reports, your reports are confidential to you only. To backup your reports you can use your iCloud account. Please watch the next video for how to do this.

To enable backup and recovery go to and open ‘Settings’ on the home page

You will see three sections,

1. App Owner Name

2. App Owner Email

3. Backup Password

Make sure you fill in each section correctly, as this is the data that is used to communicate between your ‘Report It Quick’ app on your iPad, and our server. It would be prudent to write it down and file in the event that you forget it. However, if you do happen to forget this information then we can retrieve it for you and email it back to you. But it would be quicker for you if you had it on file.

Once you have filled in the correct information, then press ‘back’ (top Left) and you will be taken to the home page.

Now touch and open ‘Backup and Recovery’, and you will see that you are now able to backup and recover your template data.

Please Note: That you will either need to be able to access WiFi, or have an internet Data Chip in your iPad to be able to use this facility.

Video 9: Backup and Recovery of Your Reports to iCloud

In this video we will show you how to backup both your reports and your templates to iCloud.

Please Note: This facility will be dependent on your internet connection and its speed; if you have a slow connection then you may experience delays. You will also need an iCloud Account.

First! Let’s look at how to back up your ‘Templates’.

Touch and open ‘Templates’ on the home page.

With two fingers touch the template you want to backup to iCloud, a menu will popup.

Choose, ‘Copy to iCloud’.

Touch the iCloud icon (Top Right)

You will now see your template stored in iCloud.

To retrieve a template, simply touch the template you want to retrieve with one finger, and a popup will appear, touch ‘Retrieve from iCloud’

Touch and open ‘Reports’ on the home page.

Touch the element bar of the report you want to save to iCloud with one finger, and a menu will popup.

Choose ‘Copy to iCloud’.

To retrieve a report from iCloud touch the desired report with one finger and it will be restored

Creating Reports

Video 13: General Information Section

We have created a default ‘Home Building Inspection’ template that is usable with all inspection types and standards.

These templates suit typical building inspection requirements regardless of what country you are in.

The only thing different about the templates is the ‘Legal Documentation’ that is applicable to different standards and countries.

Regardless of the country you are in or the standards that you are operating from, you will find that most ‘Standard’ home building inspection templates have the same or similar criteria.

They will invariably have a ‘General Information’ section.

Fill in as much information as you can in the ‘General Information’ section prior to doing the inspection. You will be able to come back to this section once you have completed your inspection in order to fill in areas that you won’t know until you have completed your inspection.

You should be able to fill in areas such as

Job Number (If Required)

Client Name, Address, Phone and Email

Prepared by

Acceptance Date

Inspection Date

Scope of report

Property Address

‘Start’ Time

Prepared Date

Recent Weather Conditions

Weather conditions on day of inspection

Typical things that you won’t know until completion of your inspection are areas such as

Inspection ‘End’ time

Persons Present

Occupancy Status

Major Safety Hazards

Many thanks for watching and be sure to check out the next tutorial video, goodbye and happy reporting.

Video 14: Understanding The Report Screen

When designing Report It Quick we wanted to have virtually all of the reporting and category components on the one screen.

We did not like all of the screen changes that you get with some programs such as you get on a smart phone. We wanted it to be clear and easy to see - simple to operate-and fast!

The screen interface has been developed to hold four visual sections.

One: We have element or category boxes where you can navigate and choose between categories and issues.

Two: We have an End Point or Final Comment box, which is your duty to warn statement. This is what you are advising your client to do about this particular defect.

Three: We have a picture box, where you can take a picture onsite or you can choose a picture from your picture album in iPad.

Four: We have an Arrow or circle facility where you can provide visual direction to the defect with either an arrow or a circle.

Adding arrows or circles is an absolute breeze with Report It Quick, you simply drag and drop to add an arrow or circle or you can remove an arrow or circle by simply dragging it back.

So let’s review those four things.

One: You have up to eight element or category boxes to choose from to identify locations categories and defects, plus other components.

Two: You have an end point or final comment box where you can review and check if this is what you want to say?

Three: You have a picture box where you can either take a photo or choose from your gallery to add a picture to this particular issue.

Four: You can easily add or remove arrows or circles to your pictures by a simple drag and drop sequence.

It is that simple, these four things are virtually all you need to be able to carry out an inspection while doing your report as you go. This process will save you an enormous amount of time and will make you much more efficient and profitable in your business.

Video 15: The Reporting Screen Sequence

In this video we will show you how to understand the sequence and navigation of the ‘Reporting’ Screen.

So let’s start with choosing a main category, let’s choose ‘Exterior Yards’

As you can see choosing a main category leads you to the next category group,

In this case it is your ‘location’ in the exterior yards,

That is you are either in the front, rear, side left or the side right yard.

Please note: that you can edit this group if you want and change it to, say? North or South or North East, etc. Remember, you are in control.

In this case we will choose ‘Rear Yard’

Now what is it that you are inspecting, let’s say it is the ‘driveway’ so choose ‘Driveway’.

What is wrong with the driveway?

There are ‘significant cracks’ evident.

So let’s choose ‘significant cracks. Remember, you can scroll up or down to find your category.

Having chosen ‘significant cracks’; this means, that you have come to the end of this thread of categories, as you can see, the ‘End Point Comments Box’ has appeared at the bottom right of your screen.

This is your final statement about this issue. This statement is what you want to tell your client to do about this defect. It is your duty to warn statement.

So in this instance you are advising your client to have a paving assessment carried out on the driveway.

Now let’s take a picture of the defect with your iPad.

Touch the blank picture square with one finger and a menu will pop up, Choose Photo or Take Photo; in this instance we will ‘Take a Photo’

So touch ‘Take photo’ and the iPad will automatically open the camera.

Take the photo.

At the bottom right of the screen you will see ’Use Photo’

Touch ‘Use Photo’ and the photo will be fitted into the photo box.

Now you want to highlight this defect for the client,

So you will choose either an arrow or a circle.

In this instance we will choose an ‘Arrow’.

You will notice that there are three different colour squares beside the arrows and circle. Depending on the brightness or darkness of your photo you can choose what colour best suits your photo. We will Choose ‘Blue’

So touch the blue square and you will see that all of the arrows and circle turn blue.

Now the arrows have four directions, choose which is best for your photo.

Simply touch any of the arrows and then drag and drop the arrow to where you want it to go.

Now as you can see, you are able to see exactly all of the components in your selection, and check them to see that all is correct.

On the one screen you can see that you are in exterior yards, specifically the rear yard, you’re inspecting a driveway which has significant cracks evident and you have taken a picture and placed an arrow defining the problem, and you have advised your client what to do about this issue.

So if all of this is correct, then all you have to do is confirm that all of this is true by touching the circular tick box in the ‘End Point Comments Box’ and it will turn green.

Then all you have to do is press the ‘Add’ button and your defect selection will be added to your report. You will see that the ‘Add’ button now changes to ‘Entered’ and the picture has disappeared.

You are now ready to choose another defect to report on and simply follow that same procedure.

It is that simple.

Video 16: How Reports are Formatted

In this video we will show you how the different components of Report It Quick format in the actual report.

Once you have embedded your logo (as instructed in previous video). It will always appear on the front cover of every report; regardless of which template you use.

Your business details will always show directly below your logo.

The ‘Template’ description will always show here on the front cover.

Your ‘Cover Photo’, usually taken at the beginning of your inspection will always show here on the cover page.

In the ‘general information’ section you will have typed in the ‘inspection address’ and your name, it will always show here on the front cover, as well as, in the general information section of your report.

You’re ‘Main Categories’ will always convert to a table of contents with page numbers, so it is important not to have too many ‘Main Categories’. Please Note: That, only the ‘Main Categories’ that are selected in each report show up in the table of contents.

Main Categories also show in the report like this.

Your ‘General Information’ Section will always appear directly after the table of contents.

Your second element group headings will always show up in bold like this

Your third element group headings will show up in bold like this

Your ‘End Point Comments’ will always show up ‘Indented’ and shaded in grey.

Your disclaimers and legal documents will show up like this. Please Note: How your embedded text looks will depend on how well you format when you copy and paste. If the text you are copying is already formatted, then it might be best to copy to word on your computer and de-format and then adjust it to your liking, before you email it to your iPad and then copy and paste it into your template.

Your embedded text will also have a main heading like this. If in report mode you see a main category in ‘Red’ then this is embedded text. Embedded text in report mode is not editable.

Your final comments section will always be at the end of your report, and depending on the text that you have pre-formatted; it will look like this. You’re Main Heading, a secondary heading, your text, then your signature, and then your post signature text, which are usually your contact details.

So! That is how your reports will format and present; and as you can see the report shows up in a very organised and clear format so that your clients can easily read and understand the report. A well presented report often leads to referrals; now that’s a plus in any business!

Video 17: Auto Complete Configuration

Just Remember! It will become habit after a short while

If you forget, just touch any item with either ‘one’ or ‘two fingers’, or use a right hand slide motion, or double tap it. Play around with it you’ll get the hang of things after a while

If there is no response with any of these gestures then it is probably not editable.

Just play around with it! Have some fun! You will not be able to delete anything without a very clear popup menu appearing

After a short while all of these actions will become habit.

Video 21: Editing End Point Comments While Onsite

In this video we will show you how to edit an ‘End Point’ comment’ while in report mode, that is while you are on the job, or on the fly

There will be times when you need to add extra comments to your saved template ‘end point’ comments.

Let’s use an example

Let’s say you are inspecting a ‘Retaining Wall’ that appears ‘Dilapidated’

In most situations you would most likely recommend that it be assessed by a ‘Landscaping Contractor’

However, in this situation there could be the possibility that the retaining wall might have some structural implications for the main building, perhaps if the retainer collapses; it could collapse onto the main building and could cause some structural damage.

As a precaution, you might want to recommend to your client that it would also be prudent to have a structural engineer assess and advise as well as the landscape contractor.

So making changes to end point comments on the go is very simple

With ‘Two’ fingers touch anywhere in the ‘End Point’ comments box

A popup menu will appear saying ‘Edit’

Touch the edit menu and the screen will change to editing mode

Make your changes or additions

You might Say!

“We also recommend that this area of the retainer be assessed by a structural engineer prior to purchase of the property, as there could be structural implications if the retainer was to collapse.

Once you have made your changes,

Press ‘Done’ (Top Right)

Another popup will appear asking if you want to save this edit to your template

Is this just a once off edit?

If you want to save it to templates then choose save or If it just a once off, then choose ‘Don’t Save’

You will now see that your edit has been made to your ‘End Point’ comment

If there is a lot of text, you can scroll the end point comments box up and down to check your wording

You can now proceed as per normal with your inspection

Finalizing Reports

Video 22: How To Review Your Reports

In this video we will show you how the ‘Reviewing Reports’ process is carried out.

Once you have carried out your inspection and created a report

Touch ‘review entries’ (Top Right)

Here you can review all of your entries and either delete or edit entries if you need to

All of your ‘Main Categories are coloured red

To edit an entry simply touch the entry and you will be taken back to the ‘report screen’ where you can make any changes you need to

Once you have made the changes

Simply touch ‘review entries again and you are now back at the review entry section

If you need to delete an item

Simply touch the ‘Rubbish Bin’ icon and a menu will appear checking if deleting is what you want to do?

If it is, then simply press delete and it will disappear.

You can now continue with your report completion by going back to ‘General Information’ and completing your report.

Now! You might come across what is known as an “Orphan Picture’

This happens when you have taken a picture

It is in the picture box square

And you inadvertently press add without confirming an ‘End Point’ comment.

When you go to ‘Review Entries’ you will see at the top of the menu, an ‘Orphan Picture’

Simply touch the ‘Rubbish Bin’ icon and it will be removed.

It’s that simple

Video 23: Emailing a Report

In this video we will show you how to email a report in either ‘PDF’ format or ‘Word’ format

Now! Please Note: Depending on what version of iPad you have, the process may be a little different, but in this example we will assume that you are using version iOS 11.

So! Once you have finalized your report

And you have created your report

And you have opened your report in ‘Pages’

At the (Top Right) of your screen you will see three horizontal dots

Touch these

And a menu will appear

Choose ‘Export’

You will now be able to choose a format in which to email your report

For our purposes as building inspectors, you are most likely to choose PDF

However, you can choose word if you like

But! Please Note: the document will present in a slightly different way than in a PDF.

We would advise that wherever possible always email in PDF format

So! Choose PDF

Your report will now be created

Choose ‘Mail’

And your report will now be ready to email as per normal already attached

Video 10: Using a Grip Holder for your iPad

In this video I am simply going to recommend that you find a suitable 'Grip Holder' for your iPad.

Having a grip holder gives you much more control.

While the iPad is fantastic, it can get a little difficult to hold and can be quite slippery.

I would encourage you to find something that has grip handles.

With Grip Handles it is much easier to take photos.

With Grip Handles you can hang it on a waist hook, very handy if you need to climb a ladder or cart tools.

A grip pad will also give protection to your iPad if you accidently drop it.

With a grip holder you will be much faster and more in control when you are doing your inspections.

Video 11: The 4 W'S of Home Inspecting

In this video we just want to show you how the (4) W’S of home inspecting works and how Report It Quick utilises these (4) W’S.

So! What are the (4) W’S of home inspecting, it’s very simple

1. Where is it?

2. What is it?

3. What is wrong with it?

4. What should your client do about it?

If in your reporting you are covering all of these issues, then most likely you are performing your ‘Duty to Warn’ commitments.

Report It Quick has been structured to accommodate all of these questions.

Where is it?

What is it?

What is wrong with it?

What should your client do about it?

Report It Quick simply follows these four principle questions

Video 12: Interchanging Between Multiple Signatures

In this video we will show you how to interchange between multiple signatures on your iPad.

This is useful when you have multiple inspectors that might be using the same iPad and you need to interchange between signatures. If you have not watched the Video on how to embed your signature, then we recommend that you watch that video first.

Once you have created your new report

Open the report

You will be on the ‘General Information’ page

Scroll down to the signature box

Touch it and a popup menu will appear

Touch ‘Choose Photo’

You will be taken to ‘Photos’ in your iPad

Select the correct signature from the saved signatures

It will now change the previous signature and add the new signature to your reports.

If you need to change it back, simply follow the same process, you can do this as many times as you like.
